Why is PHBChoices e-marketplace no longer going to be available?

NHS SBS recently conducted an internal review including gathering feedback from users on the current system, service and thoughts around the future. Following this, NHS SBS and their technology provider, cloudBuy, have mutually decided to part company. NHS SBS will continue to provide you, your carers / Personal Assistants (PAs), Payroll Provider and Suppliers with the service so that there is minimal disruption.

 

When will the PHBChoices e-marketplace no longer be available?

If you try to access PHBChoices after Sunday 31 May, you will be redirected to the PHBChoices redirect page on the NHS SBS corporate website.

 

Will my Personal Health Budget be affected?

No, you will continue to receive your budget pay-ins at the same time and of the same value you have already agreed with your CCG.

 

Can I still access the PHBChoices portal now?

Yes. You can access your account within the PHBChoices portal up until 1700hrs on Friday 29 May.

 

Can my carers / PAs, Payroll Provider and Suppliers access the PHBChoices portal now?

Yes. They can access their accounts within the PHBChoices portal up until 1700hrs on Friday 29 May.

 

Have my CCG, Personal Assistants, Suppliers, Payroll Provider been informed?

Your CCG has already been informed and we are working closely with them to minimise any disruption to you. All other users will be informed this week by email (26-29 May 2020).

 

What happens to the timesheets my carers / PAs have already submitted to me?

If you already have timesheets submitted for your approval then you need to review and approve on the current PHBChoices system.

 

What happens to the timesheets if they are not approved by me before 1700hrs Friday 29 May 2020?

Any timesheets that you do not approve in time will need to be re-submitted by your carers / PAs on Monday 1 June for your approval using the new process and the NHS SBS Support team.

 

What happens to the timesheets that I have approved if they are not downloaded by my Payroll Provider before 1700hrs Friday 29 May 2020?

If you already have approved timesheets and they are ready to be downloaded by your Payroll Provider then they must be downloaded before 1700hrs Friday 29 May. Any approved timesheets that are not downloaded by your Payroll Provider by 1700hrs Friday 29 May will need to be re-submitted by your carers / PAs on Monday 1 June for your approval using the new process and the NHS SBS Support team.

 

How do my carers/PAs submit timesheets for future weeks?

From Monday 1 June, your PAs will still need to submit weekly timesheets but instead of using PHBChoices they will need to follow the link sent to them via email which will provide them with a timesheet to complete and submit. Once they have submitted a timesheet, it will be sent to the NHS SBS Support Team who will confirm with you the time claimed and applicable rate of pay before sending to your Payroll Provider for processing.

 

What happens to the invoices from my suppliers have already submitted to me or about to submit to me?

Your suppliers will need to have submitted any outstanding invoices for approval by you. You will need to approve these before 1700hrs Friday 29 May so that they can be processed using the existing PHBChoices process.

 

What happens to the invoices from my suppliers that are submitted but not approved by me before 1700hrs Friday 29 May?

Any invoices not approved by you by 1700hrs on Friday 29 May will need to be resubmitted for processing using the new process and the NHS SBS Support Team on Monday 1 June.

 

I have already made Service Bookings and/or ordered products/services from Suppliers within PHBChoices, will these be cancelled?

Any bookings or orders already made within PHBChoices will remain in place. You can check these bookings by contacting the NHS SBS Support Team.

 

How do my suppliers submit invoices in the future?

From Monday 1 June, your suppliers will still need to submit invoices but instead of using PHBChoices they will need to use the link sent to them via email which will provide them with a pro-forma invoice to complete and submit. Once they have submitted the pro-forma invoice it will be sent to the NHS SBS Support Team who will confirm with you (the purchaser) before sending the invoice for processing.

 

How will I manage my PHB account after Monday 1 June 2020?

From Monday 1 June 2020, you will be able to contact the NHS SBS Support Team and instruct them to make changes on your behalf either by phone or by e-mail using your registered e-mail address.

 

How do I manage my bookings with my Personal Assistant and order products/services from Suppliers after Monday 1 June?

Please contact the NHS SBS Support Team to advise them of any changes either by phone or by e-mail using your registered e-mail address.

 

How will I be able to access reports after Monday 1 June 2020?

From Monday 1 June 2020, if you have a query you will be able to contact the NHS SBS Support Team and ask them to provide the detail either by phone or by e-mail using your registered e-mail address. The NHS SBS Support Team will provide you with a regular 4 weekly/monthly transaction report.

 

Will we still have access to PHBPayroll?

NHS SBS will continue to provide the payroll service called PHBPayroll to existing PHB Holders who currently use PHBPayroll.

 

How do I contact the NHS SBS Support Team?

Up until 17:30hrs on Friday 29 May 2020, you can use the existing telephone number and e-mail address. From Monday 1 June 2020, you will be able to contact the NHS SBS Support Team on 0303 123 1199 or by using the existing e-mail address SBS-B.phbchoices@nhs.net.
